The Opportunity
We are looking for a Supervisor – Corporate Secretarial to join our Company Secretarial Team as part of our financial services business in London, UK.
As part of our London team, you will be performing the below key duties:
The Supervisor – Corporate Secretarial is a varied and wide-ranging role. This includes, but is not limited to, the following:
- Administration of their portfolio of UK entities, including but not limited to: being assigned Client Services Professional responsible for a portfolio of varied clients; acting as the primary contact on client relationships and fulfilling ancillary secretarial duties as appropriate.
- Ensuring that the statutory registers are being maintained and are up to date.
- Arranging statutory and regulatory filings and ensuring that client companies are compliant with statutory obligations.
- Sending out notices and invitations, drafting agendas, coordinating, scheduling and attending meetings, preparing and distributing board and committee packs and taking minutes.
- Responsibilities for the lifecycle of the clients, from on-boarding; to ongoing statutory compliance and client service; to off-boarding or dissolution.
- Effective use of Maples internal and external systems.
- Acting as a channel of communication for the directors on matters of company law and corporate governance.
- Assisting the AVPs and VPs with the administration of a wider Maples Group Corporate Secretarial portfolio of clients which includes but is not limited to: new business enquiries, collating information, due diligence information and assisting with the coordinating, scheduling and attending board and shareholder meetings; while acting as a secondary point of contact for the client companies and their board of directors in the absence of the VPs/ AVPs.
- Ensuring the effective management of administrators in the team including training, motivating, mentoring, encouraging the office culture, gaining commitment, exercising leadership and effective delegation.
Requirements
In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following:
- 3-5 years’ relevant work experience in a corporate company secretarial role dealing with UK entities;
- Experience gained within a UK legal or corporate administration firm
- formal Company Secretary or related qualification would be preferred.
- Fluent English
- Independent in work; pro-active and attentive to details;
- Excellent verbal and written communication skills;
- Excellent organisation and planning skills, being methodical, with strong attention to detail and the ability to deliver on tight timescales;
- Excellent knowledge of MS Office Suite (Word, Outlook, PowerPoint).
